A note before the legal language

We're Roost & Realm, a Dallas-based residential home management firm. We work with a small number of homeowners across Highland Park, University Park, Preston Hollow, Lakewood, and the Park Cities. The trust those homeowners place in us is the entire foundation of the business — and that trust extends to how we handle the personal information you share with us, whether you're a current member, a prospective member, or just someone who downloaded our seasonal maintenance checklist.

This page explains, in plain language, what information we collect, how we use it, who we share it with, and the rights you have over your data. If anything is unclear, write us at concierge@roostandrealm.com and we'll explain it directly.

When this policy refers to "we," "us," or "our," it means Roost & Realm LLC. When it refers to "you" or "your," it means the person interacting with our website, our team, or our member portal.

What information we collect

We collect information in three ways: when you give it to us directly, when our service requires it, and automatically as you use the site.

Information you provide directly

• From the lead magnet form (the "Get the Free Guide" form on the homepage and other pages): your email address, and optionally your name and ZIP code.
• From the contact form or scheduling form: your name, email address, phone number, property address, and any message you choose to include.
• From a membership inquiry: the same contact details above, plus any property details you share during the conversation (square footage, age of home, current systems, etc.).
• If you become a member: your full property address, billing details, gate codes (if applicable), preferred contact methods, and information about your home's systems and components that we steward on your behalf. Payment card information is never stored on our systems — it is handled directly by Stripe (see "Third parties" below).

Information your service generates

If you become a Roost & Realm Pro member, the operational records of your service generate additional data: appointment history, inspection findings, work order details, photos of components and completed work, vendor records associated with services performed at your property, paint colors, and similar maintenance records. This data exists so we can serve you better — knowing what we've done at your home, when, and what comes next.

Information we collect automatically

When you visit our website, we automatically receive certain technical information:

• Cookies and similar technologies placed by our analytics provider (Google Analytics 4) and our content delivery network (Cloudflare). These help us understand how visitors find and use the site.
• Standard log information: your IP address, browser type, operating system, the pages you visit, the time of your visit, and the website that referred you.
• No advertising trackers. We do not run any third-party advertising or remarketing pixels on our site.

How we use your information

We use your information for a small number of clearly defined purposes:

1. To deliver the service you've asked for. If you submit the lead magnet form, we send you the guide. If you contact us about membership, we follow up. If you're a member, we use your information to coordinate your home's care.
2. To communicate with you. Service updates, appointment confirmations, billing notifications, and occasional thoughtful communications about home stewardship. You can opt out of non-essential communications at any time.
3. To improve the website and the service. Anonymous, aggregated analytics data helps us understand which content is useful and where the site is confusing.
4. To meet our legal and contractual obligations. Tax records, accounting, regulatory compliance, and the terms of any membership agreement you've signed.

We do not sell your personal information. We do not rent it. We do not share it with data brokers. We do not use it to train machine learning models. We do not use it for behavioral advertising.

Who we share information with

We share specific, limited information with a small set of trusted third parties — only what each party needs to perform a specific function:

• Stripe processes member payments. They receive the billing information necessary to process the transaction. We never see or store your full card number — Stripe handles it directly. Stripe's privacy practices are at https://stripe.com/privacy.
• Google Analytics 4 receives anonymized website usage data. Google's privacy practices are at https://policies.google.com/privacy.
• Resend is the service we use to send transactional and member-update emails. They process your email address and the contents of the messages we send you.
• Vendors performing service at your home (electricians, plumbers, painters, etc.) receive only the information needed to perform the work — typically your property address, gate code if applicable, and a description of what's needed. They do not receive your billing information or your communication history with us.
• Our internal team (a small number of employees and contractors who staff Roost & Realm) has access to member information as needed to perform their roles. All team members are bound by confidentiality obligations.

We may also disclose information when legally required (court orders, subpoenas, regulatory requests) or when necessary to protect the rights, property, or safety of our members, our team, or the public.

Cookies

Our site uses cookies for two purposes:

• Essential cookies that make the site function (session management, security, preference storage).
• Analytics cookies placed by Google Analytics 4 to measure site usage.

You can disable cookies in your browser settings. Disabling essential cookies may affect site functionality; disabling analytics cookies will not.

We do not use third-party advertising cookies or behavioral tracking cookies.

Your rights

Texas residents have rights under the Texas Data Privacy and Security Act (TDPSA), and California residents have similar rights under the California Consumer Privacy Act (CCPA). Other state laws may also apply. Regardless of where you live, we extend the following rights to all of our members and prospects:

• The right to know what personal information we have about you.
• The right to access that information in a readable format.
• The right to correct inaccurate information.
• The right to delete your information, subject to legal and contractual exceptions (for example, we must retain certain records for tax purposes).
• The right to opt out of any non-essential communications.
• The right to data portability — to receive your data in a structured, commonly used format.
• The right to non-discrimination — exercising any of these rights will never affect the quality of service you receive.

To exercise any of these rights, write to concierge@roostandrealm.com from the email address associated with your account. We will respond within 30 days.

How long we keep your information

• Lead magnet contacts: retained for 24 months unless you become a member or opt out earlier.
• Inquiries that don't convert: retained for 24 months for follow-up purposes.
• Active member records: retained for the duration of your membership.
• Former member records: retained for 7 years after the end of membership for accounting, tax, and legal record-keeping purposes, then deleted.
• Website analytics data: Google Analytics retains data for 14 months by default in our configuration.

You can request earlier deletion at any time by contacting us, subject to the legal exceptions noted above.

How we protect your information

We use industry-standard practices to protect your information:

• Encryption in transit. All connections to our website and member portal use HTTPS encryption.
• Encryption at rest. Information stored in our member-management platform is encrypted at the database layer.
• Access controls. Only team members with a business need can access member records, and access is logged.
• Vendor due diligence. We work only with established service providers (Stripe, Google, Resend, Cloudflare) that have well-documented security practices.

No system is perfectly secure, and we will not pretend otherwise. If we ever experience a data breach affecting your information, we will notify you in accordance with applicable Texas and federal law.

Children's privacy

Our services are designed for adult homeowners. We do not knowingly collect personal information from anyone under 13 years of age. If you believe a child has submitted information to us, contact concierge@roostandrealm.com and we will delete it promptly.

International users

Roost & Realm operates exclusively in the Dallas–Fort Worth metropolitan area. Our website is intended for users in the United States. If you access the site from outside the U.S., your information will be transferred to and processed in the United States, which may have different data protection laws than your home country.

Changes to this policy

We may update this policy from time to time. When we do, we will update the "Last updated" date at the top of this page. For material changes that affect how we use your information, we will notify members directly by email and post a notice on the site.
